EDMS Evaluation to Deliver Business Objectives

Our client, an international oil company major, expressed a need to improve the management and control of key commercial documents held by one of its major business units

Background

Venture were engaged to:

• Investigate and recommend options to ensure that corporate documents are secure and yet easily accessible to support future investment decisions
• To specify options provide a clear audit trail
• To develop a project and quality plan for the recommended solution.

Outcome

Following extensive consultation with key business users it was concluded that any solution must:

• Act as a catalyst to introducing new more effective ways of working
• Support the implementation of policies and procedures to enable rapid storage and retrieval of documents
• Enable the management of multiple document versions, security considerations, retention schedules and audit trails
• Offer a stepped approach to furthering knowledge management e.g. Work Flow Management, Document Life Cycle Management and Web Content Management

Venture recommended that Documentum be implemented as part of a phased approach.  This approach included system and procedural design, physical to digital data capture, business roll-out, training and ongoing support.
