Based on our experience planning and managing the change involved in EDRM implementations, we determined how best to get value from the system implementation. We examined the possible courses of action to consolidate Livelink successfully, assessed the feasibility of various options and recommended preferred practical courses of action
Background
Our client is one of Europe’s largest independent oil and gas producers, with licences in 23 countries and operations in Africa, Europe, South Asia and South America.
The company has an IM vision of easy and integrated access to information globally to support collaboration, information and knowledge sharing. In this context, early in 2007 the client completed a successful global rollout of Opentext’s Livelink Electronic Document and Records Management (EDRM) system.
Following a successful rollout the client asked Venture, as independent IM and EDRM consultants, to recommend how best to build on the success of the platform implementation to fully support the IM vision and ensure that the full value of the tool is realised over its lifetime.
Outcome
Working with company personnel in London and from the regional centres, we examined a number of areas to determine how best to get value from the system implementation. These included:
- Policy, process and procedure
- Functional fit
- Ongoing support and promotion
- Categorisation, classification and access
- Document control and records management
Working with stakeholder representatives we examined the possible courses of action to consolidate Livelink successfully We assessed the feasibility of various options and recommended preferred practical courses of action.
Finally, we consolidated our analysis which presented our recommendations and a suggested roadmap of activity for implementation to achieve the client’s objectives for the system.
As a result our client has gained insight into the priorities needed to support the initial successful implementation and ensure that it support the integrated IM vision. These recommendations have been approved and incorporated into an overall strategy for IT and IM across the organisation.
