We were engaged by our client to bring clarity to its stated requirement for 'Effective information sharing', review current systems and processes and to recommend a way forward
Background
Our client's business performance has a critical dependency on its ability to generate and make use of information about its assets and their effectiveness. This information takes many forms; paper, images, electronic data sets, databases and worked documents.
The business has a need to ensure that this information is available to all who need it in an accessible though controlled way. To achieve this, the client is seeking ways to leverage IT in the development of a new information sharing culture in the organisation.
This study was initiated to address:
- The evolving business requirements for effective information sharing
- The business requirements for the high level design of web pages and file system hierarchies which the business uses to point to its information repositories
- Training and other user guidance and influence initiatives which can help promote good practices
The work also reviewed the systems and processes currently in place. These included:
- Information sources, types and flows within the organisation and to/from the outside world
- Current practices for sharing information in email and on server systems including: NT based file servers; Unix based Document Management System using Opentext's Livelink DMS; Unix based systems
- The LAN and WAN topology and bandwidth
- The integration of intranet facilities into sharing processes
Outcome
- Change the information sharing culture from 'closed' to 'open'
- Options for an information systems architecture, to meet our clients information sharing needs
- Recommendations for change in the organisation culture and behaviours that relate to information sharing
- Recommendation of a preferred way forward embodied in a programme of projects
- Enhance the client's decision making and asset management effectiveness by being able to harness information about its assets more readily
- Improve the value obtained from investment in IT systems
